Reporting directly to a member of the Senior Management Team, the Confidential Executive provides full secretarial and administrative support service to the member of the Senior Management Team

  • Provide full secretarial and administrative and administrative support service to the Senior Management Team Member
  • Plan, organise and manage the Senior the Senior Management Team member’s calendar for effective time management.
  • Screen incoming telephone calls, respond to emails and take action as appropriate
  • Attend and minute meetings and arranges for the distribution of the minutes
  • Maintain the office filing system and all personal records
  • Make all travel arrangements for the Senior Management Team member
  • Make arrangements for any meetings required by the Senior Management Team Member
  • Operate standard office equipment such as word processor, photocopier etc.
  • Prepare expenses, purchase requisitions and payments

Perform general office duties including management of office supplies, maintenance of office equipment, etc.

Job Requirements

  • Bachelor’s degree preferred
  • Minimum of 5 years of experience providing high level administrative support to a senior executive member
  • Experienced at coordinating meetings, conference call and video conferences
  • Experienced at arranging complex domestic and international travel for professional needs
  • Excellent written and oral communication skills and interpersonal skills
  • Excellent people and project management skills as well as the ability to communicate clearly with stakeholders
  • Excellent organisational skills; ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
  • Excellent problem solving skills; ability to proactively consider and address needs and respond to request promptly
  • Ability to handle high-stress situations with a calm composure
  • Ability to maintain confidentiality and exercise sound judgement based on understanding business context
  • Positive, proactive, high –energy and enjoy working in a fast-paced, results-driven and highly collaborative environment
  • Proficiency with MS Office Suite, including Word, Excel and Power Point.
